Terms and Conditions

Terms and Conditions

The team at V-CAB Transfer warmly welcomes you. By completing your booking, you confirm that you are over the age of 18 and have the legal capacity to enter into a binding agreement and to accept these Terms and Conditions (“Terms”). You also confirm that you have read, understood, and agreed to be bound by them.

1. Contractual Relationship

These Terms govern all contracts entered into by V-CAB Ltd, under company registration number 40203248658 (the “Supplier”), acting either:

a) as the direct provider of passenger transfer services; or

b) as an agent duly authorised to act on behalf of a third-party provider,

in respect of ground transfer services between the points of departure and destination as specified in the written booking confirmation issued by v-cabtransfer.com (the “Booking Confirmation”).

By ordering any transfer service via v-cabtransfer.com, the Client enters into a legally binding contract with the Supplier, and not with v-cabtransfer.com as a separate legal entity.

2. Booking on the V-CAB Transfer Platform

The individual completing the booking form (the “Client”) is deemed the purchaser of services from the Supplier. The Client is responsible for ensuring that all information submitted at the time of booking is accurate and agrees to these Terms on behalf of all passengers listed in the booking, including minors.

All passengers, including children of all ages, must be included in the total number of passengers indicated during the booking.

For airport transfers, the Client must specify the actual requested pick-up time and not the landing time of the aircraft. It is recommended that Clients add 30–45 minutes to the scheduled landing time to allow for passport control and luggage collection.

If incorrect or incomplete information is submitted, or if changes are required after booking, the Client must notify the Supplier in writing by email as soon as possible. If the booking has already been confirmed, changes to the date or time may result in the cancellation of the original booking and will be subject to the cancellation policy outlined in Section 9. The Client may be required to submit a new booking and pay applicable fees.

Additional questions or requests may be submitted via the designated field in the booking form.

Booking requests are typically processed within two (2) hours during business hours (excluding the period from 23:59 to 06:00 CET). Once processed, the Client will be notified by email of the booking status.

A full copy of these Terms shall be provided upon confirmation of the booking.

3. Payment

Upon booking approval, the Client will receive an invoice by email, which includes a secure payment link. Once payment is received, a receipt and formal booking confirmation will be issued to the Client by email.

The Supplier reserves the right to reject a booking at its sole discretion. In such cases, the Client will be notified by email, and any payment received will be refunded in full within twelve (12) hours of notification.

4. Luggage

Each passenger is permitted to carry one standard-sized suitcase (maximum dimensions 70 x 40 x 20 cm) and one item of hand luggage. Oversized items (e.g., skis, snowboards, boxes, strollers) must be declared at the time of booking. Ski or snowboard bags must not exceed 190 cm in length.

The Supplier reserves the right to:

  • apply additional charges for oversized items, or

  • refuse carriage of undeclared items.

Failure to declare such items may result in denied service without any entitlement to a refund.

5. Transfer

At the scheduled pick-up time, the driver will be present at the agreed location.

Free waiting times are as follows:

60 minutes for airport pick-ups

30 minutes for train station pick-ups

15 minutes for all other locations

After the specified waiting period, the Client will be considered a no-show, and no refund shall be issued. Additional waiting time may be arranged (subject to availability) at a rate of €60 per hour.

In the event of a delay, the Client must contact the driver using the number provided 24 hours before the scheduled transfer. The Supplier will endeavour to accommodate changes; however, this is subject to vehicle availability.

The Supplier operates on predefined standard routes. Any deviation or change to the route at the Client’s request is only possible with the prior authorisation of the dispatcher and may result in additional charges payable by the Client.

6. Child Seats and Safety

Child seats and booster seats are available free of charge upon request at the time of booking. Pursuant to EU Directive 2003/20/EC, all children under 12 years of age or under 135 cm in height must be seated in an appropriate child restraint system.

7. Prohibited Conduct

The following actions are strictly prohibited during transfers:

Smoking

Consumption of alcohol

The driver reserves the right to refuse transportation to any passenger:

under the influence of alcohol or drugs

displaying behaviour deemed unsafe, aggressive, or otherwise inappropriate

8. Cleaning Fees

In the event that the interior of the vehicle is soiled by the Client or any member of their party, a cleaning fee of €100 shall be payable immediately to the driver. Failure to pay this fee may result in immediate termination of the service.

9. Cancellation Policy

Cancellations must be made in writing via email and are subject to the following refund terms:

≥ 72 hours (3 days)                  100% minus €30           Administrative fee applies

All refunds will be processed within 14 calendar days from the date of confirmed cancellation.

The Supplier reserves the right to cancel a confirmed booking at any time if service delivery is not feasible. In such cases, a full refund will be issued.

10. Limitation of Liability

The Supplier shall make reasonable efforts to ensure timely pick-up and drop-off. However, the Supplier shall not be liable for any costs, losses, or delays incurred due to events outside of its reasonable control, including but not limited to:

Traffic congestion or road closures

Vehicle breakdown

Severe weather

Police or customs delays

Strikes, riots, or civil unrest

Terrorist acts or threats

In the event the Supplier is unable to complete the transfer, it may, at its sole discretion, arrange alternative transport (e.g., taxi, train, or bus). The Supplier’s liability in such cases shall be limited to reimbursement of the cost paid by the Client for the original transfer.

11. Amendments to Terms

The Supplier reserves the right to revise these Terms from time to time. The version of the Terms applicable to any specific booking shall be the version in force at the time of payment.
